Booking for coaches: approve the call, take a deposit, hold the slot

Calemander is a booking page that also takes the money and holds the slot. This page is what that means for a coaching practice: a discovery call you approve before it is confirmed, a deposit instead of the whole fee, packages sold up front, and one page when there is more than one coach.

What coaches keep running into

The discovery call is confirmed before you have read a word about them

Calendly’s own community answer, dated 2024-02-19, says it “does not currently support manual confirmations”, so a first session with a stranger is on your calendar the moment they pick a time. Coaches work around it by labelling links “existing clients only” or by running a separate intake form beside the booking page.

A paid session is the whole fee or nothing

Calendly’s help pages put payments on its Standard plan and above and charge the full amount during booking (calendly.com/help/calendly-stripe and calendly.com/help/payments-faq, read 2026-09-10). A programme sold as a package, or a session you would rather hold with a deposit, does not fit that shape, so the money moves to an invoice you chase afterwards.

Every extra coach is another login

In our September 2026 scan of coaching sites that link to Calendly, collectives were repeatedly running one separate Calendly login per coach, sometimes with a dead link still on the site. Each booking link is its own island, and per-seat pricing is being paid for the privilege.

What answers it

A call waits for your approval, and the slot waits with it

Turn the approval requirement on for an event type and a booking arrives held rather than confirmed: the time is taken off your public availability while the request waits for you, and released back if you never approve it. The person booking is told it is a request, and gets a confirmation only when you say yes.

Connect your own Stripe or Square account and an event type can take the whole price at booking or a deposit with the balance settled later. Prepaid packages sell a block of sessions that clients then book against, and discount codes come off at checkout. Calemander takes no cut of what your client pays you; the processing fee is Stripe’s or Square’s.

Where the call happens is per event type

Google Meet, Zoom, Microsoft Teams, Jitsi, a phone number or a physical address, chosen for each event type rather than for the whole account, so a free intro video call and a paid in-person session do not have to agree. The Calemander app for Zoom is on the Zoom Marketplace and creates a meeting for each booking.

One page when there is more than one coach

Round-robin hands a booking to whichever coach is free, weighted by shares you set and fair over the last 30 days; a collective event asks for a time everyone named on it can make. Each coach keeps their own calendar and their own hours behind one link.

Reminders before, and something that happens after

Email reminders go out on a schedule you set per event type. On Pro, text reminders and automation rules fire on booking events — created, cancelled, rescheduled, missed — so a no-show or a finished session can trigger a follow-up without you remembering.

Your booking page on an address you own

Serve the booking pages on a hostname of your own, such as book.yourdomain.com, instead of your Calemander address. One CNAME record, and the address in the confirmation email, the reminder, the calendar invite and the receipt is yours too.

What we do not do yet

These come up in coaching conversations and we do not have them. If one of them is load-bearing for your practice, this is not the tool for you yet.

  • A client portal. Your clients get an emailed link that manages their own bookings — reschedule, cancel, see credits — not an account they sign into, and there is nowhere to put files or a curriculum.
  • A note against each session. Contacts carry notes and tags; there is no per-session record of what was discussed.
  • Charging a no-show automatically. A fee on a card we hold is charged when you press Charge, and cards on file are a Pro feature.
  • A native mobile app. The dashboard and the booking page are web pages that work on a phone.
  • A marketplace. Nobody is sent to you by Calemander; the traffic to your page is yours to bring.
  • A SOC 2 report, a Data Processing Agreement, or a HIPAA Business Associate Agreement. We hold none of them, and the security page lists the rest of the gaps.

What it costs

Free is 1 member with 3 active event types, and it is not a trial: Stripe or Square payments, deposits, prepaid packages, discount codes, approval holds, the theme engine and email reminders are all on it, with no card to start. Pro is $12/seat/mo, billed per seat, and adds a second coach, text reminders, automation rules, cards on file, meeting polls and your own booking domain.

Questions

Can I approve a discovery call before it lands on my calendar?

Yes. Turn the approval requirement on for that event type. The booking arrives held, the time is off your availability while it waits, and it is released if you never approve it. This works on every plan, including Free.

Can I take a deposit instead of the whole fee?

Yes. An event type can charge the full price or a deposit at booking through your own Stripe or Square account, on every plan including Free. Calemander takes no cut of what your client pays you.

Do I have to be on a paid plan to take payment?

No. There is no payments flag anywhere in the plan ladder, so paid event types, deposits, packages and discount codes work on Free. What Free does limit is the number of members and active event types.

Can three coaches share one booking page?

Yes, with a round-robin or a collective event type. Each coach keeps their own calendar and hours. A workspace with more than one member is Pro, billed per seat.

Can I bring my Calendly setup across?

Your event types with their questions, your weekly hours, your upcoming and past bookings, your contacts and your routing-form questions import. Buffers, minimum notice, booking windows, booking limits, start-time increments, branding, cancellation policy and session prices do not, because Calendly’s API does not expose them, so you re-enter those here. Your existing calendly.com links cannot be redirected, so they have to be replaced wherever you have posted them.
