Conferencing

Every event type has a Location, which is what decides whether a booking gets a video link and where that link comes from.

The options

Location appears twice: on the Calendars page as your default for everything, and in each event type's editor under Location to override it. The list is the same in both places, and it only shows options you can actually use:

  • Google Meet — available once Google Calendar is connected. The Meet link is created by Google as part of the calendar event, so choosing it also sets the invite to go via Google Calendar.
  • Microsoft Teams — available once Outlook Calendar is connected, and likewise created by Outlook as part of the calendar event.
  • Zoom Meeting — available once you connect Zoom, which is a separate connection from any calendar. See Using Zoom.
  • Jitsi Meet (no account required) — always available. Calemander generates a unique room per booking; nobody needs an account.
  • Phone call — no link is created.
  • In person — no link is created.

If a provider is missing from the list, either you have not connected that account or the integration is not set up on your Calemander deployment. The editor says so and links you to the Calendars page, where a provider your deployment does not offer reads Not configured.

Connecting Zoom

Zoom is the only conferencing provider with its own connection, because Google Meet and Microsoft Teams come with their calendars and Jitsi needs no account. On the Calendars page, under Conferencing, click Connect next to Zoom and approve the app. The Zoom guide covers permissions and removal in full.

Conferencing and your calendar move together

Because Meet and Teams links are made by their own calendars, the two settings are kept consistent for you. Choosing Google Meet sets Calendar invite via to Google Calendar, and Microsoft Teams sets it to Outlook. Going the other way, switching the calendar to one that cannot host your current conferencing choice moves the location to match: if the location was Google Meet or Microsoft Teams and you choose No calendar event, it becomes Jitsi Meet, which needs no calendar. A location that does not depend on a calendar — Zoom, phone or in person — is left alone.

When a provider is not available

If an event type is set to Zoom but your Zoom account is disconnected — or Zoom is not configured on your deployment — bookings fall back to your calendar's own conferencing: Microsoft Teams if the invite goes via Outlook, otherwise Google Meet. The same applies to Outlook: if Outlook is not usable, the invite falls back to Google Calendar and Teams becomes Google Meet.

That fallback is about your connection, not about a provider having a bad day. If Zoom is connected but its API fails at the moment a booking is made, the booking and its calendar invite are still created — but that booking will not have a join link, and no Meet or Teams link is substituted. A booking on everyone's calendar with a link to sort out beats no booking at all. If you see this, reschedule the booking to mint a fresh link.

Rescheduling and cancelling

  • Zoom — the meeting is moved to the new time and the join link stays the same. Cancelling deletes the Zoom meeting.
  • Google Meet — rescheduling creates a new calendar event, so the Meet link changes. Your invitee gets the new link with the updated invite.
  • Jitsi Meet — the room stays the same for the life of the booking.
