Switching from YouCanBookMe
There is no automatic import from YouCanBookMe, and this page does not pretend otherwise. You rebuild your booking pages here by hand, bring your booking history and your forward book across as a spreadsheet, and keep the YouCanBookMe account open until the last booking in it has been and gone. This page is the order to do that in, and what does not come across at all.
Why the pages are rebuilt by hand
YouCanBookMe has a read API that would, on paper, carry booking pages, questions, appointment types and bookings. Its own pricing page puts API access on the Team plan only: the feature matrix shows it absent on Free, Individual and Professional, and the Team card is where "Unlimited API access" appears. Most accounts therefore cannot produce a key without changing plan first, which is why there is no connect button here.
That leaves the export, and the export covers bookings only. Booking pages, form questions, availability and appointment types have no export at either end, so those are retyped. For a single booking page that is a short job; budget more for each extra page.
1. Rebuild your booking pages as event types
A YouCanBookMe booking page and a Calemander event type are not the same unit. A page that offers several appointment types becomes several event types here — one per appointment type, each with its own name, length and price. A page with no appointment types becomes one event type.
For each one:
- Create the event type and set its length. See Getting started, "Create your first event type".
- Retype the booking-form questions, under Adjust the event type on the same page.
- Set your hours, buffers and how much notice you need. See Availability.
- If you take money at booking, set the price. See Taking payment.
Do this before you import any bookings. The importer will not create an event type for you, so every service named in your spreadsheet has to have somewhere to land first.
2. Export your bookings from YouCanBookMe
YouCanBookMe's help centre describes the export as a CSV of bookings, filtered by either the date they were booked or the date of the appointment, delivered as an emailed link that is valid for one day. Its pricing matrix puts on-demand and scheduled exports on the Professional and Team plans, so a Free or Individual account has no export to take.
Two things to set before you run it:
- Give every booking-form question a shorthand code. YouCanBookMe's own instruction is that the answers to your form questions reach the export only for questions that have one, and each code becomes its own column.
- Set the date range wide enough to cover your forward book, not only your history. The appointment-date filter is what gets you the bookings that have not happened yet.
YouCanBookMe also applies a data-retention period to exports, 24 months by default, so bookings older than that will not be in the file.
3. Upload the spreadsheet
Open Import in the dashboard and go to Import bookings from a CSV. The page reads your headers, shows you which column it thinks is which, and lets you change any of them.
YouCanBookMe does not publish the column names its export uses, so nothing here is matched against a known YouCanBookMe format — the columns are guessed from their names, and the ones your shorthand codes created will not be recognised at all. Check every column before you import. A column the importer does not place is carried into each booking's notes rather than dropped, so the answers survive even when the column has no home of its own.
Three things the page asks you for, because none of them can be guessed safely:
- A time zone, unless your file's times already carry one. A clock with no zone is not a time.
- An event type for every service name in the file. A name you do not point at one is reported and its rows are not imported.
- Confirmation, after a preview that shows five real rows and what each would do.
What the import writes, and only this: the booking, a contact for the attendee, and a hold on the time so the slot cannot be booked over. Nobody is emailed or texted, no calendar event is created, and no meeting link is minted. Cancelled rows are skipped and counted. Rows marked as a no-show are skipped too. A row whose time is already taken here is reported rather than written over the top.
Uploading the same file twice does not double your bookings: every imported row is written with a key derived from the old tool's booking id, or from the event type, start time and attendee when the file carries no id, and a second upload reports those rows as already here.
Full detail of the columns, the ceilings and the preview is on Contacts and CSV import.
4. Keep YouCanBookMe until your last booking
Your attendees are still holding the confirmation email YouCanBookMe sent them, and its cancel and reschedule links act on YouCanBookMe. Importing a booking here does not reach into that account, and somebody cancelling over there does not cancel the copy here.
So keep the account open until the date of the last booking in it, check it before each of those meetings, and cancel or re-time the copy here by hand when something changes there. The report at the end of the import names that date for you.
5. Replace your youcanbook.me links
There is no redirect from a youcanbook.me address to anywhere else, so any link you do not replace
keeps taking people to YouCanBookMe. Change them wherever you have put them: your website, your email
signature, your social profiles, anything printed, and any automation that sends the link.
You can put your own domain on your booking links here rather than swapping one vendor's address for another — see Using your own booking domain.
What does not come across
- Booking pages, questions, availability, appointment types and prices. Retyped by hand; there is no export for them.
- Your attendees' cancel and reschedule links. They point at YouCanBookMe and keep acting there.
- Reminders, follow-ups and any automation you built. Rebuild them here. See Reminders.
- Branding, colours and your logo. Set them up here instead, under Branding in the dashboard settings.
- Bookings older than your export's retention window, which YouCanBookMe defaults to 24 months.
- Form answers for questions with no shorthand code. They are not in the export to import.
- Anything about payments already taken. Money that moved through YouCanBookMe's Stripe connection stays in your Stripe account and is not re-recorded here.
