Billing and plans

Everything about what you pay Calemander lives on the Billing page in the dashboard. Everyone in the workspace can see it; only admins can change the plan.

Free, Pro and Studio

There are three plans. Free is a single-member workspace with up to three active event types at a time. Pro is billed billed per seat and lifts both of those, and adds:

  • Team members, and with them round-robin scheduling.
  • Automations — the rules that fire when a booking is created, cancelled, rescheduled or missed.
  • Text message reminders. Email reminders are on every plan; it is the SMS channel that is Pro.
  • Removing Calemander branding from your booking pages.
  • Sending email from your own domain.
  • Standby lists and automatic close-out on classes and group sessions.

Studio is billed billed per location rather than per seat. It has everything Pro has, your whole team is included at no extra charge however many people you add, and it is the plan that can pair a door screen — the tablet at your front desk that people check themselves in on.

A door screen you have already paired keeps working if your plan later changes; what a lower plan refuses is pairing a new one.

The Billing page shows what each plan includes; the current price is shown at checkout when you click Upgrade to Pro or Upgrade to Studio. Check it there rather than trusting a figure written down anywhere else, including here.

The page shows your Current plan and its status, how many Workspace members you have, how many Seats billed, and when your subscription Renews.

Upgrading

Upgrade to Pro and Upgrade to Studio take you to Stripe Checkout. Where a yearly price is offered on your deployment, a yearly option appears alongside the monthly one. Moving between Pro and Studio once you are already paying is done in Manage billing instead, so that you keep one subscription and Stripe prorates the change.

Changing your card, invoices and cancelling

Manage billing opens the Stripe billing portal. Card changes, invoices, plan switches and cancellation all live there rather than in Calemander, so that your payment details only ever pass through Stripe.

If a payment fails, you keep your Pro features while Stripe retries — the Billing page shows a notice asking you to update your card. If the retries are exhausted and the subscription lapses, the workspace returns to Free.

Going back to Free switches things off; it does not delete them. Automations are disabled rather than removed, queued text messages are cancelled, and event types beyond the Free limit are deactivated with the rest left alone. Upgrade again and it is all still there, waiting to be switched back on.

How seats are counted

A seat is a person in your workspace, plus any invite you have issued that has not yet been accepted or expired. Adding or removing a member updates the quantity on your subscription automatically, and Stripe prorates the change rather than charging a fresh full period.

Because Free is a single member, inviting your first colleague is what prompts an upgrade. See Team scheduling.

Two different things called Stripe

This trips people up, so to be explicit:

  • Billing is what you pay Calemander. That is this page.
  • Payments is what your attendees pay you. Under CommercePayments, connecting your own Stripe account lets you set a price on an event type and charge attendees as they book, with payouts, refunds and statements staying in your own Stripe dashboard. Discount codes, tax rates, session packages and automatic refund policies all work with it.

If billing is not switched on

Some Calemander deployments run without billing configured. If yours does, the page says that paid plans are coming soon, every feature is available at no charge, and no plan limits are enforced.
