Managing bookings
Bookings show up in two places: your main dashboard, which is the one to use when you are looking for a particular booking, and Schedule, which lays them out on a timeline.
Finding a booking
The dashboard's booking list has a date range across the top — Recent, Upcoming, Past, All — a search box that matches on name, email or event type, and a Filter button. Filtering is by status: Confirmed, Pending, Awaiting payment, Cancelled, Rescheduled, Declined and No-show. If you are an admin of a workspace with more than one host, the same panel adds a Host filter. You can sort by Last booked, Soonest first or Latest first, and Export CSV downloads everything matching your current filters.
Schedule in the sidebar is the same data as an agenda, with quick ranges for Today, This week, Upcoming and Past, and View earlier / View later to page through time.
What you can do to a booking
On the dashboard the actions are buttons on the booking's own row. On Schedule, selecting a booking opens a detail pane and the actions live there, along with a record of which emails went out. Either way, which actions you get depends on the booking's status.
The two surfaces label one action differently: what the dashboard row calls Reschedule is Propose new time in the detail pane. It is the same thing, and it proposes rather than moves — see below.
- Approve and Decline — on bookings for event types that Require confirmation. Declining lets you send a note explaining why.
- Reschedule / Propose new time — pick a new date and time from your own availability and optionally add a message. This proposes the change: your invitee gets an email and decides. See below.
- Cancel — with an optional message to the invitee. Calendar events are cancelled, any Zoom meeting deleted, pending reminders dropped, and the slot freed up. If the event type was paid and has an automatic refund policy, that runs too.
- No-Show — available on confirmed bookings whose start time has passed. It records the no-show, which any automations you have set up for it will react to. Undo No-Show puts the booking back to confirmed.
- Resend invite — sends the confirmation email again, for the invitee who cannot find it. This one is in the Schedule detail pane only, beside the record of emails already sent, and it is not offered on a cancelled or declined booking.
Rescheduling is a proposal, not a move
Calemander does not move a booking out from under the person who made it. When you propose a new time, the booking is marked as rescheduled and the proposal itself sits unanswered while your invitee is emailed a link where they can Accept New Time, Decline & Cancel Meeting, or Propose Different Time and pick from your availability themselves. A proposal expires after seven days if it is not answered.
What invitees can do without an account
Confirmation emails and reminders carry Reschedule and Cancel links, and invitees never need an account to use them. Each link appears only if the event type's policy allows that action; where it does not, the email gives your email address instead. Cancelling asks for an optional Reason for cancellation, which you see on the booking.
You set those policies per event type, under Policies in the editor:
- Allow attendees to cancel, and Minimum cancellation notice (hours).
- Allow attendees to reschedule, Minimum reschedule notice (hours), and Maximum reschedules per booking.
When a policy blocks the change, the invitee is not left stuck: the page explains why and gives them your email address so they can ask.
When the invitee lost the email
Send them to /manage. They enter the address they booked with and get emailed a link, good for two hours, listing their upcoming bookings with reschedule, cancel, Add to Google Calendar and Download .ics for each. The confirmation email links there too, as “Lost this email later? Manage your bookings”. Only upcoming confirmed and pending bookings are listed — it is not a booking history.
